TIPS FOR THE PERFECT CONFERENCE

 

Be prepared and relaxed for your next meeting. Our thorough check list will provide you with useful tips on how you can successfully organize your conference.



 

PREPARING FOR YOUR CONFERENCE

 

SET YOUR TOPIC AND PLAN THE AGENDA
Establish the most important topics and in what order they are to be discussed. That way you will always have a good overview.

 

SCHEDULE YOUR CONFERENCE
Schedule your call from the dashboard of your account or if you prefer, you can also do this via telephone or email. As our system also works as an ‘On-Demand’ service, so that you can set up a call at any time without booking it through our system.

INVITE PARTICIPANTS
Send your participants an invitation in advance, which will include the
call in details, calendar entry and also the Agenda and subject of your call.

 

CALLING INTO YOUR CONFERENCE
Have your Dial-In Number as well as your Moderator PIN ready and be sure to be on time to call
in to your conference.



 

DURING THE CONFERENCE

 

AVOID INTERFERENCES
Avoid constant background noise during your call by muting your participants’ lines. Press *7 on your phone’s keypad to change the mute mode of your conference to Q&A. Participants can then unmute their line to speak, by pressing *6.

APPOINT A CO-MODERATOR
Appoint someone to be a Co-Moderator during your call so that they can manage the call for you. This is best done if they access the call from their browser. You can then give them moderator privileges by hovering your mouse over their tile and clicking on
the ‘M’ symbol. This is particularly useful for larger conference calls.

 

INCREASE EFFICIENCY
Share important information in Presentation Mode (This will mute all participants and they will be unable to unmute their lines. Press *7 twice to toggle between the different mute modes). Have users raise their hand to ask a question or make a comment by pressing *2 and get important feedback from participants in the
Chat box of your online meeting room.

 

HOLD A VIDEO CONFERENCE
Meet face to face with your colleagues or clients with capacity for up to 8 participants at a time.

 Send important documents and meeting notes to all participants.

 

ORGANIZE A FOLLOW-UP CONFERENCE
 Plan for upcoming meetings directly after the call.
